Then I add calendar items when maintenance or renewals are coming due with two week reminders. Set them on annual. We're only tracking around 20 packages though, so this may not scale well.

Outlook calendar is fine for those. I always keep a list. Most software vendors will at least give you a warning when the licensing is coming due. It's normally a week from what I've seen. That, in addition to a spreadsheet or calendar reminder is often the best route. Excel sheets, Google Calendar events with email notifications at 2 month, 6 week, and 1 month events as reminders at whatever intervals I've renewed that license for. I will reprint my Excel sheet and replace it in my binder for easy access with the updated expiration whenever a renewal takes place.

However, you can usually forget about running it across your server to retrieve all the specs from your network. Doesn't work for about reasons but, they have a little app you can download called lspush. Install that on each machine and then save the file right to the directory on your server. In general, anything longer than a week of advance notice will need a reminder closer to the actual downtime. The further in advance your initial announcement, the more reminder updates you should schedule in.

Email is the most common channel for announcing scheduled maintenance. Social media messages and in-app banners are also popular. We certainly recommend using a status page to announce maintenance periods. The benefit is that it creates a single place to manage and post your scheduled maintenance updates.

You can post announcements to your page and have email announcements sent to subscribers automatically. This is best used as a supplement to an email and Statuspage strategy.

Expiration dates, reminders and replies are all tracked automatically. Spend less time following up and more time adding value to the business. Never open spreadsheet after spreadsheet to find what's expired. Stop sending emails and let others come back to you with the updated information. When you login to Expiration Reminder you'll have a single view of what's current and expired and who has replied to reminders. Expiration Reminder will contact the right people and notify them about an upcoming renewal keeping everyone on the same page.

This is my new toy and I keep showing it to everyone in the office. I finally have a hold on expiration dates.
